Instructions for Presenters

Online Platform

The conference will take place on the PheedLoop platform. We recommend using a computer with the Chrome browser, or some derivative of that like Chromium or Edge for the conference. Safari is not recommended. The experience on a phone or tablet will be, as they say, sub-optimal.

Respect the audiencePresenters at COCE 2013

Presenters should be aware that this is an international conference of scholars, practitioners and artists. Not everyone has English as their first language. Most of the audience will not be familiar with the specific theories or methods you use. Therefore, papers, posters and presentations should be made using accessible language and be free of technical jargon as much as possible.

Instructions for preparing full papers

The submission of full scholarly papers and practice reflections is expected by May 24. You will upload your papers into the PheedLoop platform via your Speaker's Portal.

Even though we are not formally publishing proceedings, having the full papers submitted and available to delegates serves several purposes. First, it helps ensure that contributions to the conference are high quality. Second, it provides conference delegates the chance to learn about the insights from panels they might not be able to attend. And finally, the papers are reviewed by our awards committee for the conference awards.

Please follow these guidelines:

  • Suggested maximum length of 7500 words, including reference list.
  • Use the APA Style for formatting in-text citations and reference list.
  • Use the COCE 2021 Template for Microsoft Word in order to format fonts, headings, spacing, etc. in a consistent manner
  • When copying text into the Template, please MAKE SURE TO USE THE STYLES IN THE TEMPLATE, not the ones from your original document.
  • Do not add extra lines between paragraphs; the template accommodates for this by leaving space after each paragraph.
  • The body text of the final document should be single-spaced Arial 11pt Regular.
  • Please export the file to PDF format and optimize it for size in case it has any images.
  • Please name the paper with the first 50 characters of your presentation title followed by " - Full Paper". For example: "My research into influential environmental communi - Full Paper" - you don't need to include the quotes.
  • Upload the PDF file to the PheedLoop platform in your Speaker's Portal. Click on "Session Files" in the left column and add your file. Please make sure the description matches the file name (as specified above). You can't edit the file name after it is uploaded. If you need to change the file name, you will have to rename your local file and upload it again, and delete the mis-named version.

Instructions for preparing posters - deadline is May 24

For those of you presenting posters, the submission of Posters is mandatory by May 24. You will upload your posters into the PheedLoop platform via your Speaker's Portal.

Please follow these guidelines:

  • Check out this guide for preparing a research poster for some advice.
  • Posters should be 36 inches WIDE by 48 inches TALL (91 by 122 cm).
  • Please export the file to PDF format and optimize it for size.
  • Please name the poster with the first 50 characters of your presentation title followed by " - Poster". For example: "My research into influential environmental communi - Poster" - you don't need to include the quotes.

Instructions for preparing recorded presentations - deadline is May 24.

Most presenters will pre-record their presentations. The exceptions to this are poster presentations, "roundtable" discussion panels, artworks, and workshops.

Recordings will be uploaded to the Pheedloop platform for viewing by delegates ahead of the conference.

During the week of the conference, panels will convene live for questions, answers, and discussion of the presentations.

Authors must be present for the live panel sessions.

Instructions:

  • Oral presentations should be no more than 20 minutes long.
  • Presentations must be in English.
  • Presenters can choose how to present. their work. Examples include simple voiceover with PowerPoint, split-screen showing both the presenter and the PowerPoint (instructions), just the presenter without PowerPoint, etc. Both PowerPoint and Apple Keynote can create presentation recordings. Be sure to save them as a video. Apparently PowerPoint does not do well for this on a Mac. Mac users can use Keynote instead.
  • You can also record a video of your presentation using Zoom (instructions) or whatever other means you like.

REALLY IMPORTANT DETAILS:

  • Videos must be in mp4 format. They should be around 1280 x 720 p (HD) resolution (might vary slightly depending on your aspect ratio). Please do not provide higher or lower resolution videos, or videos in other formats.
  • Ideally the file size for your video will be less than 100 MB. However, some people are having trouble getting their files that small. It's OK if the file is somewhat larger. The important thing is to have the HD resolution as noted above.
  • Please seek local technical help with your video recording, format, compression, etc, if you need it. We are unable to provide support for recordings.
  • Name your video file with the first 50 characters of your presentation title.
  • Email the video itself or a link for us to download it (from either DropBox or Google Drive) to COCE2021 at theieca dot org with the subject COCE 2021 video. Please make sure the download link does not require us to login. DO NOT UPLOAD YOUR VIDEO IN PHEEDLOOP.
  • Thanks!

Instructions for preparing artworks - deadline is May 24.

If you are showing an artwork or series, please get those to us by hook or by crook by May 24.

Please optimize your media files for online viewing. In other words, HD video in mp4 format, mp3 audio, and jpeg images no more than 2048 pixels high or wide.

We are still trying to work out how to best exhibit the artworks, so you can probably expect some back and forth with us. Email to COCE2021 at theieca dot org.
